The Philanthropic Services Program Assistant provides direct donor support, program-related support, manages CFNJ donor database and reporting, and supports donor advised fund grants and CFNJ grant making.   The Program Assistant is a full-time position reporting to the President and the Chief Philanthropic Officer and working closely with others in a collegial work setting.

Responsibilities include, but are not limited to:

1) Donor Relations Support: Work with CFNJ donors to welcome them to CFNJ, facilitate online access, new fund agreements, help develop fund development/donor materials and mailings, and support the President, Director and others in donor engagement activities.

3) Fund/Grants Management Database: Develop working knowledge of CFNJ database, and generate reports and lists from database, as needed, for grant making or donor relations activities.

4) General Administrative Assistance: Respond to general inquiries, draft and edit correspondence and memos, prepare and coordinate materials for use at CFNJ Board meetings, assist in support for meetings, and other Foundation events.

Education, Experience and Skills:

  • Ideal candidates will have a 4-year Bachelor’s Degree and 1-3 years of experience in an administrative or support role, preferably in philanthropy or other nonprofit environment.
  • Excellent written and oral communications skills, with the ability to converse and correspond with donors, staff, board members and management confidently.
  • Excellent spelling/grammar/proofreading/math skills.
  • Strong organizational skills, prioritization, and self-motivation skills.
  • Strong computer skills; proficiency with Microsoft Office suite and familiarity with donor/grants database programs and working knowledge of mail merge.

  • Ability to prioritize and handle multiple tasks independently, effectively managing shifting priorities and time-sensitive projects to meet deadlines.
  • Ability to work well independently and within a team structure.
  • Excellent judgment, flexibility, good humor, and initiative.
